1. Introduction
This Privacy Policy explains how RoommateOS collects, uses, stores, shares, and protects information when you use the RoommateOS mobile app, website, and related services.
RoommateOS is operated by Niraj Makhare under the developer/brand name Elseborne.
By using RoommateOS, you agree to the collection and use of information described in this Privacy Policy.
2. What RoommateOS Is
RoommateOS is a roommate management app that helps users coordinate shared living activities such as:
- shared expenses and split tracking;
- manual settlement tracking;
- UPI detail storage for roommate-to-roommate payments;
- chores, quests, XP, badges, streaks, and leaderboards;
- shopping and inventory lists;
- room creation and invite codes;
- roommate profiles and room activity;
- access code redemption and Pro/subscription-related status.
RoommateOS is a tracking and coordination tool. It does not process UPI payments directly and does not act as a bank, wallet, payment processor, or escrow service.
3. Information We Collect
The information we collect depends on how you use the app.
3.1 Account Information
When you create or use an account, we may collect:
- email address;
- authentication provider information, such as Google account identifier if you use Google login;
- display name;
- username;
- avatar or profile image;
- tagline or profile text;
- selected player title;
- account creation and login-related metadata.
3.2 Room and Roommate Information
When you create or join a room, we may collect and store:
- room name;
- room type, theme, mascot, city, locality, or similar room details;
- invite codes or share links;
- room membership;
- member roles, such as owner, admin, or member;
- room activity and history;
- room rules or room notes if added.
3.3 Expense and Settlement Information
When you use expense and settlement features, we may collect:
- expense titles;
- amounts;
- currency;
- category;
- payer and split details;
- notes;
- expense dates;
- receipt images if uploaded;
- who owes whom calculations;
- settlement status, such as pending, marked paid, confirmed, rejected, or cancelled;
- optional payment screenshots or proof if uploaded;
- timestamps related to expense creation, payment marking, confirmation, or rejection.
RoommateOS does not verify the correctness of expense entries or whether a payment was completed outside the app.
3.4 UPI Details and Payment-Related Information
If you choose to add UPI information, we may collect:
- UPI ID;
- UPI display name;
- UPI QR image;
- visibility setting for whether your UPI details are visible to roommates;
- payment-related status entered by users, such as "marked paid" or "confirmed."
RoommateOS does not collect, request, store, or process:
- UPI PIN;
- OTP;
- bank password;
- debit or credit card number;
- CVV;
- net banking credentials;
- full bank account login details;
- payment authorization credentials.
UPI payments happen outside RoommateOS through the user's selected UPI app or bank/payment provider.
3.5 Chores, Gamification, and Activity Data
When you use chores and gamification features, we may collect:
- chore titles;
- assigned user;
- due dates;
- repeat or rotation settings;
- completion status;
- XP events;
- badges;
- streaks;
- leaderboard stats;
- reliability or contribution-style stats;
- room activity events.
These stats are for app engagement and roommate coordination only.
3.6 Shopping and Inventory Data
When you use shopping features, we may collect:
- shopping item names;
- quantity;
- unit;
- category;
- priority;
- buyer assignment;
- purchase amount if entered;
- receipt image if uploaded;
- conversion of shopping items into expenses.
3.7 Files and Images
If you upload files or images, we may store:
- avatars;
- receipt images;
- UPI QR images;
- payment screenshots;
- other images you choose to upload through supported app features.
You should not upload sensitive personal information unless it is necessary for the feature and you are comfortable sharing it with relevant room members.
3.8 Device, Usage, and Technical Information
We may collect limited technical information needed to operate, secure, debug, and improve the app, such as:
- app version;
- device type;
- operating system;
- browser type if using the web app;
- crash logs;
- error logs;
- timestamps;
- feature usage events;
- approximate technical diagnostics.
If analytics or crash reporting tools are added later, this Privacy Policy should be updated to describe them more specifically.
3.9 Notifications
If you enable notifications, we may process:
- notification preferences;
- device push token or notification identifier, if used;
- notification delivery status or related metadata.
You can control notifications through app settings or your device settings.
4. How We Use Information
We use information to:
- create and manage your account;
- authenticate you through email or Google login;
- create and manage rooms;
- let users join rooms using invite codes;
- display roommate profiles and room members;
- record expenses and splits;
- calculate who owes whom;
- track manual settlement status;
- display UPI details or QR codes to roommates when you allow it;
- manage chores, XP, badges, streaks, and leaderboards;
- manage shopping and inventory lists;
- upload and display files such as receipts, avatars, and QR codes;
- redeem access codes;
- show Pro or subscription status if enabled;
- send reminders or notifications if enabled;
- secure the app and prevent abuse;
- fix bugs and improve performance;
- provide support;
- comply with applicable legal obligations.
5. How Information Is Shared
5.1 With Room Members
RoommateOS is a shared-room app. Information you add to a room may be visible to other members of that room.
Depending on the feature, room members may see:
- your profile name, avatar, tagline, and player stats;
- expenses you create or are part of;
- split amounts and settlement status;
- chores assigned to you or completed by you;
- XP, badges, leaderboard position, and activity;
- shopping items and purchases;
- UPI ID or UPI QR if you choose to make it visible.
Do not add information to a room if you do not want relevant room members to see it.
5.2 With Service Providers
We may use trusted third-party service providers to operate RoommateOS, such as:
- backend, database, authentication, and storage providers;
- email or notification providers;
- hosting providers;
- analytics or crash reporting tools if enabled in the future;
- app stores and platform services.
These providers may process information only as needed to provide services to RoommateOS.
5.3 With Authentication Providers
If you use Google login or another third-party login provider, information may be exchanged with that provider to authenticate your account, such as your email address, name, and account identifier.
Your use of Google or any other login provider is also subject to that provider's privacy policy and terms.
5.4 With Payment and UPI Apps
RoommateOS does not process UPI payments. If you open or use a UPI app, bank app, or payment app, your transaction is handled by that third-party app or provider.
RoommateOS may display or copy UPI details for convenience, but payment processing happens outside RoommateOS.
5.5 Legal, Safety, and Compliance
We may disclose information if we believe it is reasonably necessary to:
- comply with applicable law, legal process, or government request;
- enforce our Terms of Service;
- investigate fraud, abuse, or security issues;
- protect the rights, safety, or property of users, Elseborne, Niraj Makhare, or others;
- respond to disputes or support requests.
5.6 Business Transfers
If RoommateOS or Elseborne is involved in a merger, acquisition, reorganization, asset sale, or similar transaction, user information may be transferred as part of that transaction, subject to appropriate safeguards where required by law.
6. UPI and Financial Privacy
RoommateOS is not a bank, wallet, payment gateway, payment aggregator, or payment processor.
We do not collect UPI PINs, OTPs, bank login credentials, or card credentials.
Any UPI ID, UPI display name, or UPI QR image you add is used only to help roommates manually identify where to pay. You can choose whether your UPI details are visible to roommates if the app provides such a visibility setting.
Always verify UPI details before paying. Never share your UPI PIN, OTP, banking password, or payment authorization credentials with anyone, including through RoommateOS.
7. Legal Basis / Grounds for Processing
Depending on applicable law, we process personal information based on one or more of the following grounds:
- your consent;
- performance of a contract or providing the service you requested;
- legitimate operational needs, such as security, fraud prevention, debugging, and service improvement;
- compliance with legal obligations;
- protection of users and the service from abuse or harm.
Where consent is required, you may withdraw consent as permitted by applicable law, although this may limit your ability to use certain features.
8. Data Storage and Security
RoommateOS uses technical and organizational measures intended to protect user information.
However, no app, website, database, or internet transmission is completely secure. We cannot guarantee absolute security.
You can help protect your account by:
- using a strong password;
- keeping your email and Google account secure;
- not sharing OTPs, passwords, UPI PINs, or device access;
- only joining rooms with people you trust;
- reviewing what you upload or share in a room.
9. Data Retention
We retain information for as long as necessary to:
- provide RoommateOS;
- maintain your account and rooms;
- support shared room history;
- comply with legal obligations;
- resolve disputes;
- enforce our Terms;
- prevent fraud or abuse;
- maintain backups and security records.
If you delete your account or request deletion, we will take reasonable steps to delete or anonymize your personal information, subject to legal, security, backup, dispute-resolution, and operational requirements.
Some shared room records may remain visible to other room members if they are part of room history or if deletion would affect other users' records, unless deletion is required by applicable law.
10. Your Choices and Rights
Depending on your location and applicable law, you may have rights to:
- access your personal information;
- correct inaccurate information;
- delete your account or certain data;
- withdraw consent where processing is based on consent;
- object to or restrict certain processing;
- request information about how your data is used;
- request grievance redressal or contact us regarding privacy concerns.

11. Account Deletion
You may request account deletion by contacting us at contact@elseborne.com or by using any in-app deletion feature if available.
Account deletion may remove or anonymize your profile and personal account data, but some shared records may remain where needed for room history, legal compliance, fraud prevention, security, backups, or legitimate operational purposes.
12. Children's Privacy
RoommateOS is not intended for children below the age at which they can lawfully use online services in their jurisdiction.
We do not knowingly collect personal information from children where parental consent is required. If you believe a child has provided personal information without required consent, contact us at contact@elseborne.com.
13. International Transfers
RoommateOS may use service providers that store or process data in India or other countries. Data protection laws in those countries may differ from those in your location.
Where required, we will take reasonable steps to protect information transferred internationally.
14. Third-Party Links and Services
RoommateOS may link to or interact with third-party websites, apps, services, or platforms, including Google, UPI apps, banks, app stores, and backend providers.
We are not responsible for the privacy practices, security, or content of third-party services. You should review their privacy policies before using them.
15. Google Login
If you use Google login, RoommateOS may receive information such as your email address, name, profile picture, and Google account identifier, depending on what Google provides and what you consent to.
We use this information to create or sign you into your RoommateOS account.
You can manage Google account permissions through your Google account settings.
16. Permissions
RoommateOS may request device permissions for features such as:
- notifications, for reminders and app alerts;
- camera or photo library, for uploading avatars, receipts, UPI QR images, or payment screenshots;
- clipboard access, for copying UPI IDs, amounts, invite codes, or payment messages;
- internet access, to connect to RoommateOS services.
Permission availability and wording may depend on your device, browser, or operating system.
You can control many permissions through your device settings.
17. Data Safety Summary
RoommateOS may collect or process the following categories of data:
- account identifiers, such as email address and user ID;
- profile information, such as display name, avatar, username, and tagline;
- user-generated content, such as expenses, chores, shopping items, room notes, and activity;
- financial-adjacent records, such as expense amounts, split amounts, settlement status, UPI ID, and UPI QR image;
- images uploaded by users, such as avatars, receipts, QR codes, and payment screenshots;
- app activity, such as XP, badges, streaks, and room activity events;
- diagnostics, such as crash logs and error logs if enabled;
- notification preferences and related identifiers if push notifications are enabled.
RoommateOS does not sell personal information.
18. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
If we make material changes, we may notify you through the app, website, email, or other reasonable means.
The updated Privacy Policy will be effective from the date stated in the updated document. Continued use of RoommateOS after changes means you accept the updated Privacy Policy.
